From Khata to Software: Moving Your Shop in 30 Days

Shop owners rarely fear the software. What they fear is the changeover: thousands of products, years of dues in a khata, and staff who have always worked on paper. Taken one week at a time, it is very manageable. Here is a plan that works for most small and medium shops.

Week 1: Get your lists in order

Do this on paper or in Excel, before you touch the software.

  • Products: name, category, unit, buying price and selling price
  • Customers with dues: name, mobile number and the amount they owe today
  • Suppliers: name, mobile number and the amount you owe them today

Do not try to enter old history. You only need today's balances. The khata stays on your shelf if you ever need to look something up.

Week 2: Set up the software and count your stock

Enter or import your product list. Then choose a quiet day, close early if you need to, and count everything in the shop. That count becomes your opening stock. It is the most boring job on this list and the most important. If the opening stock is wrong, every stock report after it will be wrong too.

Now is also the time to print barcode labels for any products that do not already have one.

Week 3: Run paper and software together

Train your staff on real sales, one person at a time. For this week, keep writing the khata as well. It feels like double work, but it gives everyone a safety net and lets you compare totals at the end of each day. Differences will show up. Most of them turn out to be small data entry habits that are easy to correct now.

Week 4: Stop the paper

Pick a date and close the khata. If you keep both going, staff will always fall back on the one they know. From this point:

  • Every sale goes through the software, with no exceptions
  • Each person gets their own login, so you can see who did what
  • Check the day's sales and cash together before closing the shop

Three mistakes to avoid

  1. Starting at your busiest time. Do not change systems just before Eid or in peak season.
  2. Training only the owner. The people at the counter need the training most.
  3. Skipping the stock count. Software cannot fix an opening stock figure that was a guess.

What you get at the end

After the first month you can see how much you sold, what is running low, who owes you and what you really earned, without adding up a single page. That is usually when owners tell us they wish they had started sooner.

When you take a ready product from us, we set it up with your data and train your team, so a lot of this work is shared.
