Hospital and Diagnostic Software: What to Check Before You Buy

In a hospital or diagnostic centre, one patient touches many desks: reception, billing, the doctor, the lab, the pharmacy and accounts. When each desk keeps its own records, patients wait longer, bills get missed and nobody has the full picture. Good software connects those desks. Here is how to tell whether a system will really do that for you.

Follow one patient through the system

Skip the slides and ask the seller to walk one patient from start to finish:

  1. Register a new patient at the front desk, then find a returning one
  2. Book an appointment or admit the patient
  3. Create a bill with tests, and take a part payment
  4. Enter a lab report and print it with your own letterhead
  5. Write a prescription and sell the medicine from the pharmacy
  6. Check the final bill and the due amount

If the patient's details have to be typed more than once, or if any step needs a separate system, you have found the weak spot.

Six things that matter in daily work

Billing with no leaks

Every test and service should be on a bill before the work starts. Discounts should need permission and leave a record. This is often where a centre recovers the most money.

Referral commission

This causes constant disputes when it is worked out by hand. The software should calculate it from the bills and show each referrer exactly what is due.

Reports people can read

Report formats differ from test to test. Check that the system handles yours, and that reports can be printed or saved as PDF.

Pharmacy and reagent stock

Running out of a reagent stops work, and overstocking ties up cash. You need clear stock figures and to see what is running low.

Access control

Patient information is private. Reception, lab, accounts and management should each see only what they need, under their own login.

Backups

Ask how often data is backed up, where it is kept and how you would get it back. Do not settle for a vague answer.

Hospital or diagnostic centre?

A diagnostic centre mainly needs test billing, reports, reagent stock and commission. A hospital also needs admissions, appointments, prescriptions, staff schedules and a wider set of accounts. Buy for what you are now, but choose a system that can grow with you.

Make the change in stages

Do not switch every department in one day. Begin with reception and billing, because everything else depends on them. Add the lab next, then pharmacy and accounts. Train a capable person in each department, so staff have someone nearby to ask.
